Policy on the Use of Artificial Intelligence (AI)–Assisted Tools

The Philippine Journal of Asthma, Allergy, and Immunology (PJAAI) recognizes the growing use of artificial intelligence (AI)–assisted tools in scientific research and manuscript preparation. While these technologies may support authors in specific tasks, their use raises important issues related to authorship, accountability, transparency, and research integrity.

This policy is adopted in accordance with guidance from the World Association of Medical Editors (WAME) and the International Committee of Medical Journal Editors (ICMJE) to ensure ethical and responsible use of AI in scholarly publishing.

Scope

This policy applies to all submissions to PJAAI, including but not limited to original articles, reviews, case reports, brief communications, editorials, and correspondence, as well as to editors and peer reviewers involved in the editorial process.

Definition of Artificial Intelligence–Assisted Tools

AI-assisted tools refer to software or systems that use artificial intelligence or machine learning algorithms to generate, edit, summarize, translate, analyze, or create text, images, tables, figures, or other content (e.g., large language models, chatbots, or generative AI tools).

Authorship and Accountability

  • AI tools do not qualify for authorship and must not be listed as authors or co-authors.

  • Only human authors who meet ICMJE authorship criteria may be credited as authors.

  • All listed authors remain fully responsible and accountable for the accuracy, integrity, originality, and ethical standards of the entire manuscript, including any content generated or assisted by AI tools.

Declaration of AI Use

PJAAI requires full transparency regarding the use of AI-assisted tools.

Mandatory Disclosure

Authors must explicitly declare any use of AI-assisted tools:

  • In the cover letter at submission, and

  • Within the manuscript, under a dedicated subsection (e.g., Use of Artificial Intelligence), or within the Methods section, as appropriate.

The declaration must include:

  • The name and version of the AI tool used

  • The source or platform of the tool

  • The purpose and method of use (e.g., language editing, summarization, figure generation)

  • A statement confirming that all AI-assisted content was reviewed, verified, and edited by the authors

Example Disclosure Statement

“Artificial intelligence–assisted tools (ChatGPT, OpenAI, GPT-4) were used for language refinement and clarity of expression. All content generated using this tool was reviewed, edited, and verified by the authors, who assume full responsibility for the manuscript.”

If no AI tools were used, authors should state:

“The authors declare that no artificial intelligence (AI)–assisted tools were used in the preparation of this manuscript.”

Acceptable and Unacceptable Uses

Acceptable Uses

  • Language editing or grammar correction

  • Improving clarity or readability

  • Summarizing text for internal drafting purposes, with author verification

Unacceptable Uses

  • Use of AI to generate or fabricate data, results, images, or references

  • Use of AI to perform substantive scientific interpretation or decision-making without human oversight

  • Failure to disclose AI use

  • Listing AI tools as authors

  • Uploading confidential or unpublished manuscript content to unsecured or public AI platforms

 

Use of AI by Editors and Peer Reviewers

  • Editors and peer reviewers must maintain confidentiality of submitted manuscripts.

  • Manuscripts, peer review reports, or editorial communications must not be uploaded to public or non-secure AI tools.

  • Any AI tools used by the editorial office (e.g., plagiarism detection software) must be secure and supervised by human editors.

Compliance and Enforcement

Failure to comply with this policy may result in:

  • Rejection of the manuscript

  • Request for correction or disclosure

  • Retraction of published articles

  • Further action in accordance with PJAAI editorial and ethical policies

Policy Review

PJAAI will periodically review and update this policy to reflect advances in AI technologies and evolving international standards in biomedical publishing ethics.
